Job Title: Personal Assistant (PA) – Counter Terrorism Policing (CTP)

Salary: £32,194 to £34,452 plus a Location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.

Counter Terrorism Policing (CTP) performs a critical role, keeping the country safe. As PA to one of CTP’s senior leaders, you’ll play your part in protecting the UK.

If you want to make your skills count, this a unique opportunity. By supporting our Director of Data & Analytics, you’ll be contributing to a world-class counter terrorism policing network. Data & Analysis is a key area, providing information and insight that helps to disrupt terrorist threats and ultimately, save lives. You’ll be helping the Director to perform at their best in this varied and challenging role.

Day to day, you’ll be managing the Director’s diary, arranging meetings, taking minutes, receiving visitors, and responding to emails and phone calls. All documents must be correctly filed, ensuring confidentiality and compliance. You’ll also coordinate travel and accommodation bookings and provide general Board support. We’re therefore looking for a capable professional who can deal with different contacts every day.

Experienced in administration or business support, you take pride in providing outstanding service. Highly organised, you have Microsoft Office skills and a keen eye for detail. You also have the communication skills to build good relationships and deal with contacts across CTP and beyond. With initiative and a flexible approach, you’ll provide reliable, efficient support.

Key Tasks

Key responsibilities for the role holder are:

  • Maintaining and co-ordinating a computerised diary for the Director
  • Organising and recording meetings, checking facilities, and receiving visitors
  • Creating and maintaining a system of document retrieval for the team with relevant permissions
  • File correspondence both electronically and manually, including the handling of highly classified and personal papers, ensuring confidentiality and compliance with government classification scheme (GSC) guidelines (e.g., locking away sensitive material and shredding documents where appropriate)
  • Support the work of board support; including minute-taking for Senior Management meetings supporting the work and any ad hoc informal meetings, as and when required
  • Monitoring and responding to all communications (mail, e-mail, & telephone)
  • Be responsible for ensuring papers are submitted to the Director in a timely fashion for meetings
  • To support the work of the Data Pillar by disseminating information and communications to Data Pillar staff and key stakeholders
  • Coordinate travel and accommodation requirements for the Director, such as booking of cars, trains, and hotels
  • To undertake administrative support tasks in line with the Band D framework as directed by the Director or line manager as required

Vetting

This post requires access to the most sensitive intelligence material on a daily basis. Applicants must hold or be prepared to undergo National Security Vetting (NSV) Developed Vetting (DV) level before taking up the post.

Additionally, this material is of particular sensitivity to the UK and its distribution must be restricted to UK nationals. In approved circumstances dual nationals (of which one element is British) may also be granted access. However, in the event that potential conflicts of interest cannot be managed the post holder will not be able to see the intelligence material and will not be able to perform their duties. For the purpose of safeguarding national security and in line with Cabinet Office Policy, supported by Section 82(2) to (4) of the Police Reform Act (2002), applicants who do not hold or acquire Security Check (enhanced) (SC(e)) OR Developed Vetting (DV) clearance and meet the nationality requirements cannot be offered the post.
