Job Title: Executive Support

Salary: £32,194 to £34,452 plus a Location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.

We are looking for someone with excellent communication and organisation skills, who enjoys working at pace and tackles tasks with enthusiasm and passion. This role is essential to assisting and supporting the Director and the Senior Management Team in the operations of the function. You will be exposed to strategic decisions and be in a privileged position to build strong relationships with senior officers and staff across the organisation.  As this is a role that will involve contact with senior figures across the Met, discretion is vital.  We are looking for an experience PA or executive support professional who can show initiative and can adopt a proactive, can do attitude.

We want to provide officers and staff with the flexibility to balance a rewarding career with home-life and personal wellbeing. Though you will be based in Westminster, our ambition is to make the best use of our shared space enabling a mixture of remote and office based work. You should expect a blend of office and home working including one day working at our base location and at least one day meeting together across the MPS estate, which is likely to include a day at Sydenham (SE26 5NF)

Portfolio Office

  • Define and align the portfolio in line with the priorities of the sponsoring group.
  • Provide P3M expertise and assurance framework for effective governance and controls, resourcing, benefits management, risk management, planning and dependency management to enable the successful delivery of programme outcomes and benefit realisation

Key responsibilities:

Work closely with the senior executive support to provide administrative support to the TD SLT including:

  • Managing diaries and making travel arrangements as well as setting up meetings, conferences and events that will be hosted by the Leadership team. This includes organising contacts, communications, schedules and meetings for the Director with internal stakeholders, staff, vendors and other government agencies.
  • Collating management information accurately and on time
  • Prioritise and manage urgent requests and actions, escalating up to the Director as appropriate
  • Prepare and manage key pieces of work for the Director depending on the needs of the department, this includes document creation and crosschecking information and preparing documents to aid information sent to the key stakeholders and boards. 
  • Capturing and tracking progress against actions, pro-active in chasing action owners in a timely manner
  • Undertake other duties and responsibilities as may be reasonably required.
  • Organising, attending and accurately recording minutes of meetings and associated actions/tasks to provide an accurate reflection of meetings, to provide clarity and an effective audit trail of decision-making processes
  • Dealing with internal communications regarding meetings and providing a total administrative service with regards to printing paperwork as required
  • Maintaining telephone and e-mail contacts with all levels of staff both personally and on behalf of the SLT

Communications and Working Relationships

Develops and maintains relationships with:

  • The senior executive support and the senior leadership team in TD to provide effective administrative support across the directorate
  • Relevant enabling functions and SROs as related to their role, to problem-solve, integrate and collaborate to the benefit of operational policing and the wider MPS
  • Head of portfolio office to support them in building the capability and capacity of the administration and its credibility in the wider MPS
  • Work closely day-to-day with their peers within the portfolio office and in programmes where there is a need for integrated and collaborative working, to problem solve to the benefit of operational policing and the wider MPS

Desirable:

  • Previous experience of working in a Customer Service/Public Sector organisation
  • Previous exposure to working with or within a Transformation department
  • Working with Senior Directors and Senior Management Teams
