Job Title: HR Resource Management Office - Office Manager

Salary: £32,194 to £34,452 plus a Location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.

Location: Kilburn

 

The Resource Management Office (RMO) provides support across the HR function, including: Project support, PO Management, Mailbox management (inc FOIA/Comms) and meeting support for the HR Governance cycle. In addition, we also provide administrative support to the Senior Leadership Team.

A vacancy has arisen within the HR Operations team to manage the day-to-day running of the RMO; managing the 6 members of staff, assessing requests for admin support and assigning resource to tasks.

Key responsibilities include:

  • Management of the RMO Team; day to day tasking of 6 Band E staff, managing the performance and development of the team ensuring the required level of support is delivered across the HR function
  • Delivery of admin support across all HR functions; working with Team Leads to review and requirements prioritise / allocate RMO resource to projects as appropriate
  • Maintain oversight of HR budgets and management of purchase order requests for HR; escalating iPROC queries to the P2P SPOC; quality assurance for goods receipting, invoicing, journals and the HR PO Tracker
  • Provide guidance and support in relation to the Tender processes (Competefor, 1049);
  • Review of Temporary Agency Worker engagements (monthly); review POs / approve XMS timesheets /extensions / VMAF submissions
  • Support to the HR Private Office / HR Executive; Cover for HR private office as necessary and manage HR Private Office mailbox
  • Update tasking Rota and deliverables
  • Providing support to HR Governance/project meetings; Producing accurate minutes and action lists as needed
  • Logistical Support; managing the provision of equipment in support of project teams across HR.

Skills

  • Has advanced admin and organisational skills to support both SLT and meetings
  • Has ability to manage demand both personally and across the team to ensure the team are as efficient as possible
  • Has advanced planning and organising skills to manage the effective delivery of tasks/projects, ensuring attention to details and accuracy of records
  • Is inquisitive about current issues and ways of working across the Strategic HR community and how they affect their current practice
  • Is confident in dealing and communicating with colleagues in senior roles and other departments
  • Proficient IT skills

 Knowledge

  • Good knowledge of the range of tools and techniques that are required in an HR capacity to support a tasking and resources functions
  • Harnessing IT, with a developed practical knowledge of Aware, PSOP, iProcurement, MS Excel, and Powerpoint, Word
  • Knowledge of financial and non-financial performance information.

 Experience

  • Experience providing administrative support to senior leaders
  • Experience managing and tasking teams
  • Experience in identifying resourcing needs for project teams
  • The ability to work in a fast paced environment flexing resources to meet demand
  • Experience in PO management and use of the IPROC system or equivalent.
