Job Title: Roster Administrator

Salary: £28,511 to £30,504 plus a Location allowance of £1,721. You will receive £28,511 the band minimum. Progress to the band maximum of £30,504 will be via incremental progression.

Your role will be absolutely essential to our work. You’ll build our rosters, using excel based planners, and update them on our resource management system - ensuring that the correct annualised hours are maintained. Whether you are checking that our flexible working roster is compliant with the Police Regulations and Working Time Regulations, or liaising with colleagues across the organisation, you’ll be playing an enormous part in keeping things running effectively and efficiently here. Based within a central unit dealing with Rosters and Officer/Staff position changes within the MPS Resource Management System (CARM). The unit is divided into four teams each with specific departments to manage. 

We’re looking for someone with excellent communication skills, and experience using Microsoft Office 365 applications, particularly Excel and SharePoint. You’ll need 5 GCSEs at Grade C or equivalent, including Maths and English. The ability to calculate percentages and averages confidently will be essential too. 

Responsibilities 

  • Administration of roster and posting changes in the Resource Management system for Police officers and Staff in line with the unit’s Service Level Agreement. 
  • Shared mailbox management. 
  • Checking posting changes submitted the unit each month. 
  • Checking excel based roster planners submitted for officers/staff for compliance with Working Time Regulations, Police Regulations and MPS Policies. 
  • Recording of work entering the unit, progress updates and completion dates within the unit’s SharePoint work allocation lists  
  • Liaison with Local Resource Planning SPOCs based in the departments serviced by the unit/allocated to team members. 
  • Maintain information within the unit’s shared folders as required by the unit’s procedures. 
  • Support supervisors in the collection of management information for the team. 
  • Escalation of unresolved issues raised by local SPOCs to Band D supervisors. 
  • Providing information to officers/staff following roster or posting changes – e.g. copies of shift patterns, call sign/shoulder number changes, commitment reports etc. 
  • Ensure compliance with MPS Policies, procedures and the administrative functions overseen by the unit. 
  • Personal responsibility to undertake development and training activities as identified by line managers or the individual. 
  • Readiness to flex between teams within the roster unit if demands from departments managed necessitate additional support. 
  • Support to Organisational change projects affecting postings and rosters.

Essential For The Role, e.g. qualifications, licenses, languages, training  

Essential Criteria: 

  • 5 GCSEs at Grade C or above including Maths and English 
  • Excellent written and oral communication skills 
  • Good mathematical skills and the ability to calculate percentages and averages of the gross and net hours contained within shift rosters 
  • Experience in using Microsoft Office 365 applications in particular Excel and SharePoint. 
  • Aptitude to learn and adapt to using various corporate IT applications. 

Desirable Criteria: 

  • Previous experience using duties management or scheduling systems in a resource management environment
  • Existing knowledge of Police Regulations and Working Time Regulations would be beneficial. 
  • Experience in Microsoft Power Apps
